What Is a Seller Context File?

A seller context file is a document describing a rep's company, product, best fit customers, personas, voice and rules, loaded into AI before any task. It's about one page, written once and reused everywhere. Without it, AI knows nothing about what you sell and fills the gaps with generic or invented claims.

In 30 seconds

  • A seller context file tells AI who you are, what you sell, who buys it, how you write and what it must never do.
  • It has six sections: About me, What we sell, Ideal customer profile, Personas, My voice and Rules.
  • You load it once into a workspace or saved instructions, so every task starts informed.
  • When AI gets your product wrong, fix the file, not just the output.

Why a seller context file matters in sales

AI is like a brilliant new hire on day one: it knows the world but nothing about your company or buyers. Ask it to write to a CFO without context and it writes to every CFO, about no product in particular.

Most bad AI output in sales is a context problem, not a model problem. Retyping "I'm a prospecting rep at X, we sell Y" in every chat is slow, and you'll skip things when rushed. A context file loads the same approved facts every time.

It also protects the brand. Rules like "never invent customer names, metrics or product features" and "if unsure, say so" make AI flag gaps instead of guessing.

The six sections

Section What it covers
About me Your role, territory and what you can't commit to
What we sell One sentence summary, use cases, differentiators, approved proof
Ideal customer profile Who fits, triggers and disqualifiers
Personas Each buyer's priorities, KPIs and common objections
My voice How you write, with 3 of your best emails as examples
Rules What AI must never do, and what to do when unsure

Example

Example

Before and after at Pinecrest Payroll (fictional)

Delia, a closing rep at Pinecrest Payroll, sells payroll and scheduling software to businesses with several locations. With no context file, she asked AI to describe Pinecrest to a CFO. The answer was smooth and mentioned "built in benefits administration." Pinecrest doesn't offer that.

Delia wrote a one page file listing Pinecrest's three real use cases and the rule "never invent product features; if unsure, say so." In a fresh chat, the description was accurate, and when she asked about benefits, AI said the file didn't cover it.

Then she added one line: "We do not offer benefits administration." Now every chat starts with that fact.

Test whether your file stops guessing.

Prompt

The "prove it from my file" test

Using only my seller context file, answer: 1. Does Pinecrest Payroll offer benefits administration? 2. Which customers can I name in a prospect email? 3. What can I say if a CFO asks for a discount? For each answer, quote the line in my file that supports it. If no line supports it, write "Not in my file" and don't guess.

Common misconceptions

  • "It's the same as custom instructions." The file is the content. Custom instructions, a project or a pasted chat opener are places to put it.
  • "Write it once and forget it." Update it every time AI gets your product wrong, and after releases or territory changes.

Key idea

Fix the file, not just the output.

Quick check

Quick check

Answer in your head, then open each one.

  1. AI's drafts keep sounding formal and wordy, nothing like you. What's the lasting fix?

Answer: Paste 3 of your best emails into the My voice section. Examples beat adjectives.

  2. True or false: your seller context file should include your current deal notes.

Answer: False. Deal details belong in that deal's chat. The file holds standing facts.

FAQ

How long should a seller context file be?

A seller context file should be about one page. Put long material, like battlecards, in separate reference files.

Where do I put my seller context file?

Put your seller context file where your company approved assistant loads it automatically, such as a project or saved instructions. Options vary by tool, so check its current documentation.

Can a sales team share one seller context file?

Yes, a sales team can share the company sections: what we sell, best fit customers, personas and rules. About me and My voice stay personal.
