What Is a Context Window?
A context window is the amount of text an AI model can consider at one time, including prompts, files and earlier messages. What's outside it, AI can't see, so it may guess. For reps, it explains why long chats drift and why one account's details can leak into another's email.
In 30 seconds
- The context window is what AI can see right now: your prompt, pasted notes, files, its own replies and tool results.
- It's large but not unlimited, and size varies by model, tool and plan.
- In long chats, early rules fade and facts from different accounts blend.
- The fix: one account per chat, a summary carried into a fresh chat and standing rules saved where every chat loads them.
Why the context window matters in sales
A call transcript, a security questionnaire and a few email threads fill a chat fast. The more you pile in, the more likely AI loses a rule you set at the start, like "under 120 words."
Mixing accounts is the bigger risk. Prep three prospects in one chat and one buyer's pain point can turn up in another buyer's email.
The window also explains many hallucinations. If a fact isn't in view and the model never learned it, AI fills the gap with something plausible. Most bad output is a context problem, not a model problem. How AI Assistants Actually Work explains training knowledge versus context step by step.
Example
One long chat, two accounts (all names fictional)
Nadia, a closing rep at Ramplight, worked her Harlow Medical Supply deal in one chat for two weeks: three call transcripts and a dozen drafts. On day one she wrote: "Keep emails under 120 words. Use only facts from my transcripts."
Midway, she also prepped an Ostrander Labs call in the same chat. Her next Harlow recap ran 280 words and promised "a 30 day pilot starting next month." That pilot was Ostrander's idea.
The fix took five minutes. She asked for a summary of Harlow facts only, checked it against her notes, pasted it into a fresh chat and saved her email rules in her workspace instructions.
When a deal chat gets long, this prompt carries the facts forward.
Prompt
Clean handoff to a fresh chat
I'm moving my Harlow Medical Supply deal to a new chat. Write a handoff summary under 150 words with four headings: Confirmed facts (name the transcript or document each came from), Open questions, What we committed to, and My rules for this account. Include only Harlow Medical Supply details. List anything from a different account under "Not Harlow" so I can leave it out.Common misconceptions
- "A bigger window means AI remembers everything." Each chat has its own window. A new chat starts empty unless your tool loads saved instructions or memory.
- "The context window is what AI learned in training." Training happened before you arrived. The window is what you and your tools give it now.
Key idea
If AI can't see it, AI can't use it. Give it the right facts, and only the right facts.

Answer in your head, then open each one.
Your draft follows every rule except a word limit you set 40 messages ago. Why?
Answer: The early rule faded in a long chat. Start fresh with a summary, and save the rule in your workspace instructions.
True or false: prepping three prospects in one chat has no downside.
Answer: False. Details from one account can leak into another.
FAQ
How big is a context window?
A context window is usually large, often hundreds of pages of text, but the size depends on the model, tool and plan. It's measured in tokens, roughly three quarters of a word each. Check your tool's current documentation.
What happens when a chat gets too long?
When a chat gets too long, early instructions lose their effect and details blend. Some tools trim or summarize older messages. Keep one task per chat and carry a summary forward.
Is the context window the same as AI memory?
No, the context window covers only the current conversation. Some assistants also offer saved instructions or memory that load into new chats; features vary, so check what yours stores.
