What Is a Prompt Template?

A prompt template is a reusable prompt with placeholders that a rep fills in for each account or deal. You write and test the prompt once, mark the parts that change in curly braces, such as {name} or {trigger_event}, and reuse it. Templates turn one good result into a repeatable one.

In 30 seconds

  • A prompt template is a tested prompt with blanks for the details that change. Its real value is consistency: the same rules every time.
  • Standing facts about you and your product belong in your seller context file, not in each template.
  • Test a template on 3 real accounts before you share it.

Why prompt templates matter in sales

You write the same kind of first touch email, call prep and recap many times a week. Retype a prompt each time and you skip parts when you're busy, usually the rules. A template keeps "use only these facts" and "under 90 words" in every run.

Templates also make quality shareable. When one rep's prompt books meetings, the whole team can use it the same week.

Templates are also the second rung on the automation ladder, right after the one off prompt. You can't automate a task well until a template does it well by hand.

Example

Here is a first touch template written by Jordan, a prospecting rep at Tallyline (fictional), which helps finance teams process vendor invoices without manual data entry.

Prompt

First touch email template (Tallyline)

Goal: get a reply from {name}, {title} at {company}, agreeing to a 15 minute call about how they process vendor invoices.
Context: use my seller context file. Trigger: {trigger_event}, which I read at {source_link}.
Inputs: {pasted_research}. Use only these facts about {company}.
Rules: under 90 words. Open with the trigger, not with Tallyline. Use one approved proof point that fits {industry}. End with a yes or no question. If any placeholder is empty, ask me for it instead of guessing.
Format: 2 subject lines under 5 words, then 1 email.
Example

Jordan fills it in for Birchfield Foods (fictional)

{name} and {title}: Birchfield's controller. {company}: Birchfield Foods. {trigger_event}: a new posting for an accounts payable manager. {source_link}: Birchfield's careers page, which Jordan opened before writing.

On the first try, Jordan forgot to paste the research. Because of the last rule, AI asked for it instead of inventing a reason Birchfield might care. That one line kept a hallucination out of the email.

Jordan tested it on 3 accounts, then added it to the team library with a note listing the inputs it needs.

Common misconceptions

  • "A template is a script." It produces a draft. You still check every fact and edit before anything reaches a buyer.
  • "Once it works, it's done." Templates drift as your product, best fit customers and buyers change. Review the ones you use most each month.

Key idea

Write it well once, test it, then reuse it on every account.

Quick check

Quick check

Answer in your head, then open each one.

  1. Your template says "We help finance teams at midsize companies..." at the top. What should change?

Answer: Move that to your seller context file and point to it. The template should hold only the task and what changes.

  2. True or false: a template you wrote this morning is ready for the team library.

Answer: False. Test it on 3 real accounts and refine it first.

FAQ

What's the difference between a prompt and a prompt template?

A prompt is one instruction for one task; a prompt template is a tested prompt saved with placeholders so you can reuse it. Every template starts as a prompt that worked.

Where should I store prompt templates?

Store templates in your company approved AI workspace or a shared team document. Some assistants let you save them in a project or as a reusable skill. Check your tool's current documentation.

How many prompt templates does a sales rep need?

Start with three, one for each of your most time consuming tasks, such as account research, first touch email and call prep. Add more only when you repeat a task often.

Reps write and test three templates in Session 3 of the AI for Sales Certification, then turn the best into skills in Session 9. Start with the complete guide to AI for sales.
