How to Use AI with HubSpot for Sales
AI is most useful in HubSpot when it works from your real records: deals, contacts, notes and call transcripts. Here are five workflows that save time every week, the prompts behind them and the rules that keep your data clean and safe.
In 30 seconds
- Start with a HubSpot field guide: your pipeline stages, key properties and rules, written once and given to AI every time.
- Five workflows pay off fastest: deal hygiene, call updates, lead triage, pipeline review prep and account coverage.
- AI can reach HubSpot data three ways: HubSpot's own AI features, an approved connector in your AI assistant, or exports you paste in. Each sees only what you can see.
- AI drafts, you decide. Review every suggested update before it changes a record.
- Features and names change by plan and over time. Check HubSpot's current documentation and your company's rules.
Three ways to bring AI to your HubSpot data
Scroll sideways to see the whole table.
| Option | How it works | Good for | Watch for |
|---|---|---|---|
| HubSpot's built in AI features | AI inside HubSpot, working on records you can open | Quick summaries and drafts next to the record | Features vary by plan and change often; check what your account includes |
| A connector in your AI assistant | Your company approved assistant reads HubSpot data through an approved connection | Questions across many records, like "which deals have no next step?" | Only use connectors your company approved, with read access unless writing is approved |
| Exports you paste in | You export a view and paste it into your company approved workspace | Any assistant, no setup | Export only the columns you need, and keep exports out of personal accounts |
Whichever you use, AI sees only the records and properties your HubSpot permissions allow. If a teammate's deals are hidden from you, they're hidden from AI too.
Before you start: build a HubSpot field guide
AI doesn't know what "Stage 3" means at your company, which properties matter or which rules your managers enforce. Write it down once. Save it in your seller context file or your AI workspace so every chat starts with it.
Prompt
Draft your HubSpot field guide
One time, about 20 minutes
Help me write a one page HubSpot field guide for my AI assistant. Ask me these questions one at a time, then write the guide under the headings below:
1. What are our deal pipeline stages, and what has to be true for a deal to move to each one?
2. Which deal properties matter most, and what does a good value look like for each?
3. Which contact and company properties do I use to decide if a lead is a good fit?
4. What rules do managers check in pipeline reviews?
5. What must AI never change or assume?
Headings: Stages and exit criteria · Key deal properties · Fit properties for leads · Review rules · Never doKeep it short. One page that is right beats five pages nobody updates. Review it whenever your stages or properties change.
Workflow 1: Deal hygiene in five minutes
Most pipelines have the same problems: deals with no next step, next steps in the past, close dates that keep slipping and stages that don't match the notes. AI finds these quickly from an export or a connected view.
Prompt
Deal hygiene check
Weekly, before your pipeline review
Using my HubSpot field guide and the deal list below (name, stage, amount, close date, next step, next step date, last activity date), find:
1. Deals with no next step or a next step date in the past
2. Close dates in the past or moved more than twice
3. Deals whose stage doesn't match the exit criteria in my field guide, based on the notes
4. Deals with no activity in 14 days
For each, give the deal name, the problem, the property it's based on and the one question I should answer to fix it. Don't suggest values I haven't given you. Write MISSING where data is missing.
<deals>
{paste your export}
</deals>Fix the records yourself. The value is the list; the judgment about each deal is yours.
Workflow 2: From call transcript to record update
After a call, turn the transcript or your notes into the exact updates HubSpot needs: a note, updated properties, tasks and a recap email.
Prompt
Call to HubSpot update
Right after each call
Here's the transcript (or my notes) from a call with {company}. Using my field guide, draft:
1. A deal note: 3 sentence summary, the buyer's priorities in their words, risks.
2. Property updates: only properties the call gives evidence for, each with the quote that supports it.
3. Tasks: every next step, who owns it (us or them) and the date said on the call.
4. A recap email under 120 words.
If something wasn't discussed, write NOT DISCUSSED. Mark any date or owner that isn't clear as UNCLEAR.
<transcript>
{paste transcript or notes}
</transcript>Workflow 3: Lead triage before you reach out
When new leads arrive, AI can sort them against your fit criteria so you spend time on the right ones first.
Prompt
Lead triage
When new leads come in
Using the fit properties in my field guide, sort these leads into three groups: top priority, worth a lighter touch and not a fit right now. For each lead, give the group, the two properties that decided it and anything missing that would change the answer.
Don't research outside what I've pasted. Don't mark anyone "not a fit" because of missing data; put them in a fourth group, NEEDS INFO.
<leads>
{paste lead export: company, title, industry, size, source, notes}
</leads>Then research the top priority leads properly, with sources you open yourself. How to Use AI for Account Research shows how.
Workflow 4: Pipeline review prep
Walk into your pipeline review knowing what your manager will ask.
Prompt
Pipeline review prep
The day before your review
Act as my sales manager preparing for our weekly pipeline review. Using my field guide's review rules and the deals below, list the 5 questions you'd ask me first, each tied to a specific deal and property. Then, for each question, draft a two sentence answer using only what's in the data, and flag where the data doesn't support a confident answer.
<deals>
{paste your open deals with notes}
</deals>You

AI assistant
First question: the Calder Freight Systems deal is in Proposal, but its last activity was 19 days ago and the next step date has passed. What happened after you sent the proposal? From the notes, I can't tell whether Priya Raman reviewed it.
You
Draft my honest answer and a next step I can take today.
Workflow 5: Account coverage for larger deals
For deals with several decision makers, AI can show who you've reached and who you haven't.
Prompt
Coverage map
For deals with a buying group
Here are the contacts associated with the {company} deal and our activity with each (emails, meetings, calls, last date). Build a coverage table: name, role, what they care about based on our notes, last contact date and strength (strong, weak or none).
Then list the roles a deal like this usually needs that are missing from the list. Don't invent people; list missing roles, not names.Example: Rowan Pike, closing rep at Ramplight (fictional rep and company)
Rowan ran the coverage map on a deal with Calder Freight Systems (also fictional). Every activity in HubSpot was with Priya Raman, VP of Sales. Nobody from finance had been contacted, and the notes showed the CFO would sign. Rowan asked Priya who in finance should see the proposal before it went to the CFO, and added that person to the deal the same week. The data was already in HubSpot. AI just made the gap obvious.
What not to automate in HubSpot
Key idea
AI makes HubSpot useful by finding what's missing. The fixes, and the judgment behind them, stay with you.
Rolling this out to a HubSpot team
Agree on the field guide
One shared version, owned by sales operations or a manager.
Start with read only workflows
Deal hygiene and pipeline prep change nothing in HubSpot.
Add call updates as drafts
Reps paste and approve every change.
Confirm connectors and permissions
Only approved connections, with read access first.
Review after a month
Which workflows saved time, and where did AI get things wrong?
Try it now
Your first 15 minutes
- Export your open deals from HubSpot with name, stage, amount, close date, next step, next step date and last activity.
- In your company approved AI workspace, run the deal hygiene prompt. No field guide yet? Paste your stage names and what each one means.
- Fix the three worst records before your next pipeline review.
Frequently asked questions
Does HubSpot have its own AI?
Yes. HubSpot includes AI features inside the product, and what's available depends on your plan and changes over time. Check HubSpot's current documentation and what your company has turned on.
Can ChatGPT or Claude connect to HubSpot?
Some AI assistants offer HubSpot connectors. Use one only if your company has approved it, and start with read access. Without a connector, paste exports into your company approved workspace.
Is it safe to paste HubSpot data into AI?
Only into your company approved AI workspace, and only the columns the task needs. Never into a personal account. Follow your company's AI policy.
Should AI update deal stages automatically?
No. Let AI suggest updates with the evidence for each one, then approve them yourself. Stage changes affect forecasts and should reflect your judgment.
What's the fastest workflow to start with?
Deal hygiene. It needs only an export, changes nothing in HubSpot and usually finds something to fix in the first run.
